A remote team farewell works best when the card is collected asynchronously and the goodbye call is optional to the contribution. Share one signing link, set a deadline with a named time zone and give the recipient the finished card to read after the call as well as during it.
How do you organise a virtual farewell card?
Create the card before announcing the collection to the group. Share the contribution link in a channel the recipient cannot see, with the person's name and a precise cutoff. Include colleagues who work different hours or have moved to another team.
Ask for a short message and one optional memory. People can contribute without joining a meeting or creating an account. A clear request lowers the effort: "Add one thing you appreciated about working with Sam" is easier to answer than "Write something amazing."
How should you handle different time zones?
State the deadline as a date, time and zone. Do not assume "end of day" means the same thing in Dubai, London and Singapore. Leave enough time after the last major working window to check the card and prepare the presentation.
For a scheduled delivery, check the organiser's selected time zone before saving. Separately write the contributor deadline in your invitation. The time the card is sent and the time people should finish writing are different decisions.
What should happen during a remote farewell call?
Ask one host to introduce the card and share the screen. Read a small selection of messages only if their writers are comfortable with that. A long wall of wishes is difficult to read through a compressed video call, so let the recipient open the link themselves too.
Keep a simple fallback: if screen sharing fails, paste the finished recipient link into the call chat. Check that you are sharing the delivered card rather than the signing page or organiser controls. The card can still be meaningful if someone cannot attend the call.
Which card theme suits a distributed team?
Minimal, with love offers a clear, understated presentation. Letters adds warmth, while the scrapbook suits a team with offsite photos and shared memories. A travel theme is optional; working across borders does not mean every farewell needs a boarding pass.
How can quieter teammates be included?
Do not require people to record a speech or perform live. A few written sentences can express appreciation without putting the contributor on the spot. Invite specific memories from people who collaborated behind the scenes, not just the most visible speakers.
The recipient can write one thank-you note back to the group after delivery. Give them time rather than expecting an immediate emotional reaction on camera. For sample wording, see farewell messages for colleagues.
Frequently asked questions
Can colleagues sign without attending the virtual farewell?
Yes. They can use the signing link before the deadline and contribute independently of the call.
Does Kehdoo host the farewell video call?
No. Use your usual meeting service for the call. Kehdoo provides the group card that you can open or present alongside it.
Should remote farewell wishes be read aloud?
Only when appropriate and with the writers' comfort in mind. Give the recipient the completed link so they can read every message at their own pace.
